Procedure to reduce / control the emissions from the Association's fleet vehicles (OP11:V9:20/10/05)

Responsibility

  1. Support Services Manager, Administrative Officers, servicing garage.

Action

  1. Support Services Manager to draw up an annual maintenance programme (before the start of April) for the Association's fleet vehicles. This will incorporate a 6 monthly service and annual MOT for each vehicle. The programme exceeds the servicing requirements suggested by the manufacturers.

  2. The Support Services Manager will set an acceptable emission level for the fleet, based on MOT requirements and the Environmental Transport Association advice.

  3. In accordance with the annual maintenance programme and the service schedule the Administration Officer will issue an order for vehicles to receive the appropriate service.

  4. The servicing garage will be asked to carry out an emissions test as part of every annual service. This will be by informal agreement, until new contracts are issued.

  5. The servicing garage will printout a result of each emissions test. If the emissions do not meet the standard set by the Association, the vehicle will be re-tuned and a new printout produced.

  6. The emission results for each vehicle will be attached to the service report and forwarded to the Administration Officer to be filed.

  7. The Administration Officer will provide the Support Services Manager with a summary of the results, analysed by vehicle, to show the emissions test failure rate.

  8. Leased vehicles will be serviced according to the lease agreement.

  9. Leased vehicles will require an annual emission test to be carried out as this is not covered by the leasing contract.

Recording

  1. Copies of the emission test results and services to be kept on the fleet vehicle files.

  2. The Support Services Managerwill keep a copy of the annual maintenance programme.
