Consultation Procedure with the local Planning Authority on the quality of the visual and functional proposals for new developments and refurbishment projects (OP14:V5:22/04/08)

Responsibility

  1. Development Managers (SHG) appointed architectural consultants, Head of Design, design and build contractors.

Action

  1. Before submitting a planning application, in-house designers and/or external consultants shall consult with the local Planning Authority. They shall allow time within the pre-tender period to adjust the scheme and re-consult with the Planning Authority as necessary.

  2. Where possible, the designers should select recyclable materials e.g. bricks, tiles etc. having regard to the nature and character of existing properties in the locality.

  3. The Development Manager (SHG) / Head of Design to check to ensure materials to be used will conform, wherever possible, to the Association's technical requirements as laid down within the Design Brief (for new build projects).

  4. The Development Manager (SHG) / Head of Design shall allow for cost of using materials acceptable to the local Planning Authority within the pre-tender estimate.

  5. The Development Manager (SHG) / Head of Design shall ensure that the appropriate Contract Administrator and/or Clerk of Works is aware of materials specified and site inspections make certain of compliance with the specification.

Recording

  1. Letters of acknowledgement or agreement issued by the Local Planning Authority.

  2. Specification for the project.

  3. Drawings for the project.
