Procedure for servicing gas boilers (OP4:V6:25/10/2007)

Responsibility

1.    Vale Heating Care Operatives, Supervisors and Customer Service team.

Action

1.    Every gas boiler owned by the Association is serviced once a year at intervals not exceeding 12 months. The Customer Care Assistants that cover servicing  will programme a schedule of addresses to service in order and, where practical, will make appointments for visits so that they can be carried out on a geographical basis.  During each service, Operatives will ask the tenant how the appliance has been working.

2.    Operatives to carry out a visual inspection of the appliance while it is in operation.

3.    Operatives to carry out an inspection and service on the appliance in accordance with Gas Safety Regulations and the Association’s own higher standard of specification.

4.    Operatives to fill out a landlords gas safety certificate supplied by their supervisor which acts as a checklist.  They should record that the system has been serviced and list any defaults or parts required. The Customer Service team is to file the service sheets when they are returned to the main office.

5.    Once the system has been fully explained to the tenant, Operatives to tick the box to acknowledge this has been done (see procedure OP5).  They should also find out if the tenant would like to be left with user instructions on the appliance.

6.    Operatives to leave a copy of the landlords gas safety certificate with the tenant.

7.    Every 5 years Operatives will be sent on refresher courses to update their gas servicing and safety knowledge.  If they are unfamiliar with any new models they can request additional training anytime during the intervening 5 years.

Recording
 
1.    The properties visited are shown on the works order and spreadsheet.

2.    The time spent on servicing is recorded on the Landlord Safety Certificate.

3.    Copies of the service sheets up to 2 years old are kept with the gas supervisor at Hanney office.  All subsequent records are filed into the Hanney property files.
